We are looking for an HR Operations Specialist to join our HR team. In this role, you will manage HR administration across the entire employee lifecycle and act as the day-to-day contact for our Chinese expatriate colleagues on visas, residence permits and international transfers — providing reliable, efficient HR operations for our growing organisation.

This position is currently based in Kelsterbach. As part of our continued expansion, we plan to relocate our office to Nieder-Olm near Mainz around October 2026.

HR Operations Specialist (m/f/d)

Your Responsibilities

📋 Employee Lifecycle Administration

•        Manage all HR administration from onboarding through to offboarding

📝 Contracts & Personnel Documentation

•        Prepare and manage employment contracts, personnel documents and related HR data

🌏 Expat Administration & Global Mobility Support

•        Prepare application documents, schedule appointments and track extensions for visas and residence permits (Aufenthaltstitel) for our Chinese expatriate colleagues

•        Support the administrative processes around international transfers: assignment documentation, A1 certificates, social security and tax registration

•        Assist with settling-in matters: city registration (Anmeldung), tax ID applications, bank accounts and insurance registration

•        Maintain the expat tracker, monitor the validity of residence permits, passports and assignment periods, and flag renewals in good time

💻 HR Systems & Data Management

•        Maintain and manage our HR systems, ensuring employee data is accurate and up to date

⚙️ Process Optimization

•        Support the continuous improvement of existing HR operations processes and help implement new standards and workflows

🤝 Cross-functional Collaboration

•        Work closely with the recruiting team, HRBPs and other internal teams

💡 HR Projects & Initiatives

•        Support the implementation of HR projects and operational HR initiatives

Your Profile

•        Completed HR-related vocational training, or a degree in Human Resources, Business Psychology, Business Administration or a related field

•        Professional experience in HR Operations, HR Administration or a comparable HR operations role

•        Experience in expat administration or with visa / residence permit processes is an advantage

•        A structured, detail-oriented and solution-focused way of working with strong organisational skills

•        Good communication and teamwork skills, with the ability to work effectively with a range of stakeholders

•        Intercultural communication skills and the ability to coordinate effectively between German and Chinese colleagues

•        Confident with MS Office; hands-on experience with HR systems is a plus

•        An independent and reliable working style, with the initiative to drive the improvement of HR processes

•        Fluent Chinese and German (C1) are required for this position, as you will support our Chinese expatriate colleagues on a daily basis; business English is an advantage.
