Job Responsibilities
1. Reception & Office Administration

  • Welcome visitors and ensure a professional reception experience.
  • Answer, screen, and forward incoming telephone calls.
  • Receive and distribute incoming mail, parcels, and documents.
  • Coordinate meeting room bookings and meeting arrangements.
  • Manage office supplies, inventory, and coordinate with suppliers.
  • Maintain office facilities and ensure a pleasant working environment.

2. HR Administration Support

  • Support recruitment activities including job postings, interview scheduling, and candidate reception.
  • Assist with onboarding and offboarding administration.
  • Prepare employment contracts, personnel files, and HR documentation.
  • Maintain employee records and HR database.
  • Support attendance, leave, and training administration.
  • Support employee engagement activities, training, and company events.
  • Responsible for payroll processing and verifying payslips; liaising with third-party tax firms; and addressing
  • employee inquiries regarding salary deductions, taxes, and social security contributions.

3. Administrative Coordination

  • Assist in arranging reception and logistics for domestic and international business travel.
  • Assist with visa invitation letters.
  • Coordinate office equipment, maintenance, and IT support.
  • Support vendor management and administrative purchasing.

4. Other Responsibilities

  • Perform other HR and administrative duties assigned by management.
  • Providing visa processing and renewal services for long-term expatriate staff.
  • Assist long-term expatriates in resolving daily living issues, such as finding rental accommodation and
  • communicating with landlords.

Expected Qualifications & Experience
1.Education

  • Bachelor's degree or above; majors in Human Resources, Business Administration, Administrative
  • Management, or related fields preferred.

2.Experience

  • 2+ years of experience in HR administration, office administration, or reception.
  • Experience in an international or German company is an advantage.

3.Professional Skills

  • Proficient in Microsoft Office (Word, Excel, Outlook, and PowerPoint). Skilled at creating PowerPoint
  • presentations.
  • Familiar with Office 365 and electronic document management systems.
  • Experience with HRIS such as SAP SuccessFactors, Kenjo, or Workday is a plus.
  • Language Skills
  • Fluent German (at least C1 level).
  • Good command of English for daily business communication.
  • Chinese language skills are an advantage.

4.Personal Competencies

  • Excellent communication and interpersonal skills.
  • Strong customer service mindset with attention to detail.
  • Well organized and able to manage multiple tasks.
  • High level of confidentiality and professionalism.
  • Ability to work in a dynamic international environment.
  • Hold a driver's license from Germany or another EU country.
  • Hold a valid German residence permit for employment purposes with at least three months of remaining validity.
